"This operations assistant role is to support the delivery of current business practices. It will involve a broad range of tasks, including administrative, marketing tasks, account management, and likely numerous others. The job is likely to evolve with time as the company grows, but will initially focus on organising, structuring, and executing a varied range of tasks to free up capacity for the co-founders to focus on business development and software production.
Responsibilities
- Assist with daily administrative tasks, including data entry and clerical duties.
- Maintain organised filing systems, both electronic and paper-based.
- Utilise Google Workspace for documents and spreadsheets, creating and maintaining these
- Coordinate schedules, meetings, and appointments to enhance team productivity.
- Collaborate with team members to streamline processes and improve operational efficiency.
- Perform other duties as assigned to support the overall objectives of the organisation.
Requirements
- Demonstrable ability to organise and structure administrative tasks.
- Proficient computer skills, including typing speed and accuracy.
- Familiarity with Google Workspace applications (sheets, docs, drive, etc).
- Familiarity with Slack would be advantageous, but not essential
- Strong organisational skills with the ability to manage multiple tasks effectively.
- Excellent attention to detail and accuracy in data entry tasks.
- Good clerical experience that demonstrates an understanding of office procedures.
- Confidence in communicating with multi-cultural clients and colleagues
Pro-active attitude in identifying improvements in processes and structures
A background in pharmaceuticals is not required, we can provide training to support with the understanding of the data we process.
This job will report to the CEO.
Working hours will be 9:15am - 3:15pm, 5 days a week. This will be Cardiff based hybrid working, with attendance at a co-working facility on some days through the week (likely in the Roath Park area), alongside home working. In the initial weeks, this is likely to be full time in office, until training is complete and the successful candidate is confident."
